Mail Scanning Service: Read Your US Postal Mail From Anywhere

Mail Scanning Service

Your letters arrive in Massachusetts. You read them wherever you are.

A real US street address, a free email alert for every arrival, and an open-and-scan to PDF whenever you ask for one. Handled in-house by background-checked staff at our Tewksbury business center, in business since 2007.

USPS-approved CMRABBB A-ratedFree scanning on Silver and GoldForwarding to 220+ countries

A mail scanning service receives your postal mail at a staffed US address, tells you what arrived, and on your request opens an item and scans the contents to a PDF you can read from anywhere. At MyMailForwarder.com, every arrival triggers a free email alert, scanning is free on the Silver and Gold plans, and after reading you choose whether each item is forwarded, held, or shredded.

Key Takeaways

  • There are two levels: an arrival alert that tells you something came in, and an open-and-scan of the contents, which happens only when you ask.
  • Scanning is free on Silver ($450 per year) and Gold ($595 per year). On Starter ($330 per year) it is a paid add-on.
  • Your mail is handled in our own building by background-checked employees. Nothing is outsourced.
  • USPS Form 1583 is the authorization that lets a commercial mail receiving agency (CMRA) accept mail in your name. It is required for every customer.
  • Some items should not be handled by scan alone: checks, cards, passports, titles, and certified originals must be physically forwarded.
  • USPS Informed Delivery shows the outside of some envelopes. It never shows what is inside, and it does not cover most commercial addresses.

The Basics

What a Mail Scanning Service Is

Mail scanning converts a paper letter into a PDF so that distance stops mattering. The industry uses the word “scanning” for two different things, and the difference decides how much of your mail anyone ever sees.

Level 1: the arrival alert

When an item reaches your suite, staff log it and the system emails you. The alert tells you that something arrived and identifies it from the outside: the sender shown on the envelope, the type of item, and the carrier. Nothing is opened. Every plan includes this alert at no charge, and for a lot of mail it is all you need. An envelope from a catalog company can be shredded on the strength of the alert alone.

Level 2: open and scan on request

When an item looks important, you ask for a scan. A staff member opens that one envelope, scans the pages to PDF, and sends the file to you. This is the step that replaces being there. It happens only on your instruction, item by item. We do not open mail on speculation, and we do not read it.

Level 3: you decide what happens to the paper

After you have read the PDF, the original is still sitting in your suite. You tell us to hold it, shred it, or forward it, alone or with other items, to any address in 220+ countries and territories. The scan is for reading. The decision about the original stays with you.

Some providers call this a digital mailroom, a virtual mailbox, or a postal mail scanning service. The labels overlap. What matters is who does the opening, where they do it, and whether the address itself is one your senders will accept. Ours is a real street address with a personal suite number at a staffed business center in Tewksbury, Massachusetts, not a P.O. Box, so it accepts USPS, UPS, FedEx, DHL, and Amazon deliveries. The address side of the service is described on our virtual address and mailbox rental pages, and the vocabulary is defined in the mail forwarding glossary.

The Workflow

How Scanning Works at Our Facility

Four steps take a letter from the carrier’s hand to your screen. A person at our counter performs each one, Monday to Friday, 9:00 AM to 5:30 PM Eastern.

Mail arrives, you get an email

The carrier delivers to our counter. Staff sort the item to your suite, log it against your account, and an arrival alert goes to your email. The alert is free on every plan.

You request a scan

Reply with your instruction for that item. If the sender tells you all you need to know, skip the scan and go straight to hold, shred, or forward.

Staff open and scan to PDF

A background-checked employee opens the envelope, scans every page, and delivers the PDF to you. The pages go back in the envelope and the envelope goes back to your suite.

You choose: forward, hold, or shred

Read the PDF and tell us what to do with the original. Forward it by the carrier you pick, hold it within your plan’s storage window, or have it shredded.

What to expect on timing

Scan requests are handled during business hours by the same staff who receive your mail. We do not publish a guaranteed turnaround, because we would sooner be accurate than quotable: volume varies, and a request sent on Friday evening Eastern time will be worked on Monday. If a particular item is urgent, say so in the request, or call the counter. A person answers.

What a good scan request looks like

Clear instructions save a round trip. “Scan the IRS envelope that arrived today, all pages” is a complete request. So is “Scan the first page only of anything from my bank, shred everything from the alumni association.” Many subscribers settle into standing instructions for their regular senders within the first month. How a single envelope moves through the entire system, including forwarding, is covered in how mail forwarding works.

The Original

After the Scan: Forward, Hold, or Shred

A scan answers the question “what does it say”. It does not deal with the paper. Every item ends in one of three ways, and you choose which.

Forward

Originals that matter get shipped to you. You pick the carrier from discounted USPS, FedEx, UPS, and DHL options, approve the quote, and track the shipment. Letters can travel alone or wait and ship together in one envelope. If you also receive packages, Silver and Gold include free package consolidation, which typically cuts international shipping cost 30% to 40% per batch. The details are on our mail forwarding service page and in the international shipping savings guide.

Hold

Items can wait in your suite inside your plan’s storage window: 30 days on Starter, 60 on Silver, 90 on Gold. Holding is the right call for anything you might need in original form later, and for mail you plan to batch into one monthly shipment.

Shred

Most mail deserves this ending. Once you have the PDF of a routine statement, or once the alert tells you an envelope is advertising, tell us to shred it. Paper with your account numbers on it stops existing, which is safer than letting it pile up anywhere.

A sensible rhythm for a typical household abroad looks like this: alerts arrive through the month, perhaps a third of items get scanned, most are shredded after reading, and a handful of originals ship together once a month or once a quarter. The postage bill stays small because very little paper actually needs to cross a border.

Trust

Security and Privacy

Letting someone else open your mail is a matter of trust, so here is exactly what stands behind ours, and what we do not claim.

Who touches your mail

Employees of Neighborhood Parcel, the company that operates MyMailForwarder.com. Staff are background-checked. Mail is handled in-house at our own facility and is never sent to a third-party scanning center or a reseller network. The business has operated since 2007 and is A-rated with the BBB.

Where it happens

In a staffed commercial building with limited access and monitoring. Carriers hand mail to employees across a counter. Items are logged on arrival, stored by suite, and released only on the account holder’s instruction. A logged item cannot quietly disappear, and a missing expected item gets noticed in days, not months.

The legal basis: USPS Form 1583

A commercial mail receiving agency cannot accept mail for you on a handshake. USPS requires every CMRA customer to complete PS Form 1583, which authorizes the agency to receive mail as your agent. The form is notarized and supported by two forms of identification, and online notarization is accepted. It is the reason a CMRA knows who its customers are, and it protects you as well: nobody else can open a box in your name without passing the same check. Our Form 1583 guide walks through it, and what a CMRA is explains the USPS registration behind the address.

Form 1583 covers receiving. Opening is a separate matter, and our rule is simple: we open an item only when you ask us to scan it.

What we do not claim

We do not hold compliance certifications such as SOC 2, and we are not a HIPAA-certified processor. If your employer or a regulator requires a vendor with a specific certification for certain records, tell us what you need before you sign up and we will give you a straight answer about whether we fit. For most households and small businesses, the relevant questions are who handles the mail, where, and under what identification rules. Those we can answer in full.

Why this is safer than a curbside mailbox

An unattended residential mailbox is where mail theft happens, and stolen mail feeds check washing and identity fraud. Mail that goes from a carrier’s hand to an employee’s hand inside a monitored building removes that exposure. Our guide to preventing mail theft and check fraud covers the mechanics.

What Should and Should Not Be Scanned

Scan anything whose value is the information on the page. Physically forward anything whose value is the object itself. A PDF of a check deposits nowhere, and a PDF of a passport crosses no border.

Two items deserve a closer look. Certified mail is signed for at our counter during business hours, which is often the whole point for someone abroad, and the signature date can start a legal clock. Scan it the day the alert arrives. Our guide to certified mail and legal notices explains what the green card means and what to do next. Cards should cross borders inactive and tracked. The full card routine for expats is in our guide to US credit cards while living abroad.

Use Cases

The Mail People Scan Most

Five categories account for most scan requests at our counter. Each has a deadline or a dollar amount attached, which is why reading it this week matters.

IRS and state tax notices

Tax agencies open almost every issue with a letter, and each letter carries a response date. A scanned notice can be in your tax preparer’s inbox the day you see the alert. The full agency-by-agency picture is in our guide to IRS and Social Security mail while living abroad.

Bank and card issuer letters

Fraud letters, account review requests, address verification forms, and change-in-terms notices still arrive on paper even when statements are paperless. An unanswered bank letter can end in a restricted account.

Medical bills and insurance EOBs

An explanation of benefits tells you what the insurer paid and what you owe. Appeal windows run from the date on the notice, and provider bills go to collections when nobody reads them. Scan, check against your records, pay or dispute.

Legal notices with deadlines

Court mail, a jury summons, a landlord-tenant notice, a letter from an attorney. These are the items where a three-week delay changes the outcome. Scan first, then call someone qualified.

Business mail

Customer checks, vendor invoices, state annual report reminders, and agency letters for an LLC. Owners route scans directly to a bookkeeper. Companies that need an in-state agent can read about Massachusetts registered agent requirements.

Everything that is “probably nothing”

The plain white envelope with no sender name is how replacement cards, class action notices, and unclaimed property letters travel. When in doubt, a scan costs little and guessing wrong can cost a lot.

Living Abroad

Mail Scanning for Expats and Digital Nomads

Expats and long-term travelers are the people this service was built around, because they have the hardest version of the problem: US institutions that insist on a US address and communicate by paper, and a life lived somewhere that paper takes weeks to reach.

Expat mail scanning

An American living in Portugal, Mexico, or Thailand still has a US bank, a brokerage, a retirement account, the IRS, and perhaps Social Security and a state pension writing to them. International delivery of that mail is slow and untracked, and the dates on the letters do not wait. With a US address and scanning, the letter makes a short domestic trip to Massachusetts and the rest of the journey is an email. The originals that matter follow by courier on your schedule. Our expat virtual mailbox guide compares this setup with a P.O. Box and with family help, in detail.

Digital nomad mail scanning

Nomads have a different problem: there is no fixed destination to forward to. For them scanning is nearly the entire service. A nomad on the Silver plan might go a year reading everything as PDFs, shredding almost all of it, and forwarding one small envelope of originals to a friend’s apartment during a stopover. The address stays constant while the person moves, which is what banks and agencies want to see. More on that pattern in mailbox rental for digital nomads.

Snowbirds, RVers, and military families

The same logic applies to anyone whose location changes faster than their senders’ records. One address receives everything. Scans cover the urgent items. Physical batches follow you to whichever address is current.

An honest note about addresses and residency

A mailing address is where mail goes. It does not make you a Massachusetts resident, and it does not change where you live for tax, banking, or immigration purposes. When a bank or agency asks for your residential address or country of residence, give the true answer. For tax and legal questions, confirm with a professional.

Alternatives

Mail Scanning vs. USPS Informed Delivery vs. a Relative

Two free alternatives exist, and both are worth a fair look. Informed Delivery shows you envelope exteriors. A relative can open your mail for nothing. Here is where each one stops.

USPS Informed Delivery is a good free service if you live at the address and simply want a preview of today’s mail. It was never designed to help someone who is not there: it cannot open anything, and the paper still needs a person to collect it. A relative is the right answer when your mail volume is small, the person is organized and willing, and you are comfortable with them seeing the contents. It stops working when they move, or when your mail turns into a standing chore. A wider comparison, including USPS forwarding products, is in USPS vs. private mail forwarding.

Plans

Scanning by Plan

Every plan includes the address and the arrival alerts. The plans differ in whether the open-and-scan step is included or billed as an add-on.

Which plan fits a scanning-first customer? If you expect to scan more than the occasional letter, Silver is the natural choice, and it is our most popular plan. Starter makes sense when your mail is light and you mostly want alerts and a periodic forward, with a scan now and then at the add-on rate. Gold suits households of up to five users, businesses, and anyone who needs the longest storage window. Current add-on rates are shown on the plans and pricing page. 3-month and 6-month terms are also available.

Cost

What a Digital Mailroom Costs

A digital mailroom for one household costs a flat annual plan fee plus postage on whatever you choose to forward. With us that means $330, $450, or $595 per year depending on plan, and on Silver and Gold the scanning itself adds nothing.

The math on Silver

Silver is $450 for an annual term, and annual billing includes one bonus month, so you receive 13 months of service. That works out to about $34.60 per month of service, or a little over a dollar a day, for the address, the alerts, free scanning, free consolidation, 60 days of storage, and up to three users. Starter on the same basis is about $25.40 per month, and Gold about $45.80.

How other providers price scanning

Pricing models differ across the industry, and the differences matter more than the headline price. Some providers include a monthly allowance of scans and bill per scan or per page above it. Some charge separately for each incoming item. Some charge for shredding or for storage beyond a short window. None of these models is wrong, but they make a quiet year cheap and a busy year expensive, and tax season is always busy. When you compare, price out a realistic month: say ten items received, five opened, forty pages scanned, eight shredded. Our virtual mailbox cost guide lists the fee types to look for, ours included.

Enterprise digital mailrooms are a different product

If you searched for digital mailroom cost on behalf of a company that receives hundreds of pieces a day, you are looking at a different market: outsourced mailroom operations with per-piece pricing, software integrations, and contracts. We serve individuals, households, and small businesses whose mail fits in a suite. A five-person firm that wants its checks and agency letters scanned to a bookkeeper is a good fit for Gold. A hospital system is not.

What it replaces

Set the fee against what it prevents. A missed tax notice that turns into penalties, a bank account restricted over an unanswered letter, a flight home to sort out paperwork, a relative’s growing resentment. One avoided problem usually covers several years of the plan.

Setup

How to Get Started, Step by Step

Setup is a single afternoon of paperwork, followed by a few weeks of updating senders. Do it before you travel if you can. Everything is easier with a US phone number and your documents within reach.

  1. Choose a plan. If scanning is the reason you are here, start with Silver. You can change plans later and your address does not change.
  2. Complete USPS Form 1583. List every adult who will receive mail at the suite. Provide two forms of ID and have the form notarized. Online notarization is accepted, so this works from abroad.
  3. Receive your address and suite number. Write it exactly as we give it to you, suite included. That format is what your senders and their address checks will expect.
  4. Update your senders, most important first. Banks and card issuers, the IRS (Form 8822) and your state tax agency, Social Security and Medicare, insurers, brokerages and retirement accounts, then everyone else.
  5. File a USPS change of address from your old home if you are leaving it, so stragglers are redirected to the suite while your updates take effect.
  6. Test the workflow. When the first alert arrives, request a scan and then give a hold, shred, or forward instruction. Ten minutes of practice now makes the urgent item routine later.
  7. Set standing instructions. Tell us which senders to scan on sight and which to shred on sight. Refine after a month.
  8. Share the scans. Forward PDFs to your tax preparer, bookkeeper, or spouse. Additional users on Silver and Gold can be listed on the account.

If you are preparing for a move overseas, the wider to-do list is in our moving abroad mail and document checklist. Everything else we offer is summarized on the our services page.

In Practice

Three Subscribers, Three Scanning Habits

The service is the same for everyone. The habits differ. These composites reflect the patterns we see most.

The retired couple in Portugal

Silver plan, two users. Their mail is pensions, Medicare, a brokerage, and two state tax agencies. They scan every government and financial envelope the day the alert arrives and send tax documents to their preparer as they come in. They shred nearly everything after reading. Twice a year a slim courier envelope of originals goes to Lisbon. Their preparer has stopped asking whether anything is missing.

The software contractor with no fixed city

Silver plan, one user. He has not had a forwarding address in two years. Everything is scanned, read on a laptop, and shredded, with one exception: replacement cards, which are held until he can name a hotel or a friend’s address that will be good for a week. Those go by express courier with a signature.

The Massachusetts LLC owner abroad

Gold plan, four users including her bookkeeper. Customer checks are scanned on arrival so the books are current, and the originals are forwarded weekly for deposit. State and agency letters are scanned to both her and the bookkeeper. The company’s registered agent is at the same facility, so service of process and business mail land under one roof.

Avoid These

Mistakes to Avoid

Most problems we see come from a small number of habits, and all of them are easy to fix.

Treating the alert as the finish line. An alert that says “envelope from the Department of Revenue” is a prompt to request a scan, not something to get to next month. Decide on each alert within a day or two, even if the decision is to hold.

Asking for a scan of something that needs to be in your hand. A scanned check is a picture of money. Ask the payer for an electronic payment, or forward the original by tracked mail before it goes stale.

Leaving someone off Form 1583. Mail addressed to a person who is not listed gets held for verification instead of processed. List your spouse, your adult children if they use the address, and your business names at signup.

Updating only some senders. The institution you forget is the one that mails the important letter to the old apartment. Work from your last twelve months of statements and tax forms to build the sender list.

Letting storage windows lapse. If you hold everything with no plan, you will reach the end of the free storage period on items you did not need. Shred what is finished and batch the rest.

Assuming paperless means no paper. Paperless settings stop statements. They do not stop cards, legal notices, fraud letters, or anything an agency is required to send in writing. The paper that still arrives is usually the paper that matters.

Sharing PDFs carelessly. A scanned tax notice contains your identifying numbers. Send it to your preparer through their secure portal where they offer one, and keep your own email account protected with strong authentication.

Honest Fit

When You Do Not Need a Scanning Service

Not everyone needs this, and we would sooner tell you now than refund you later.

  • If you live at your address, collect your own mail daily, and only want a preview of what is coming, USPS Informed Delivery is free and sufficient.
  • If you will be away for under a month, USPS Hold Mail costs nothing and your mail will be waiting when you return.
  • If you receive a few letters a year and have a reliable, willing relative who will not move, their kitchen table is a reasonable mail center.
  • If your employer or regulator requires a certified records vendor for the documents in question, you need a provider with that specific certification.

The service earns its fee when you are far from your mail for months or years, when the mail includes anything financial, governmental, or legal, when you need private carriers to deliver to your address, or when you want originals forwarded abroad on your own schedule. If two of those describe you, the plan usually pays for itself the first time a deadline is met that would otherwise have been missed.

FAQs

Frequently Asked Questions

What is a mail scanning service?

A mail scanning service receives your postal mail at a staffed address, notifies you when items arrive, and on request opens an item and scans the contents to a PDF you can read online. You then decide whether the original is forwarded to you, held in storage, or shredded.

Do you open all of my mail?

No. Every arrival is logged and you receive an email alert based on the outside of the item. We open an envelope only when you ask us to scan it. Items you never ask about stay sealed until you tell us to forward, hold, or shred them.

How much does mail scanning cost?

Mail scanning is free on the Silver Plan at $450 per year and the Gold Plan at $595 per year. On the Starter Plan at $330 per year it is available as a paid add-on. Annual billing includes one bonus month, so you receive 13 months of service for the price of 12.

How fast will I get my scan?

Scan requests are handled by our staff during business hours, Monday to Friday, 9:00 AM to 5:30 PM Eastern. We do not guarantee a specific turnaround time. If an item is urgent, say so in your request or call the counter, and we will do our best to prioritize it.

Is it legal for you to open my mail?

Yes, with your authorization. USPS Form 1583, which every customer completes with two IDs and a notarization, authorizes us as a commercial mail receiving agency to receive mail as your agent. We open an individual item only when you instruct us to scan it.

Who handles my mail, and is it secure?

Background-checked employees of Neighborhood Parcel handle your mail in-house at our staffed, limited-access, monitored facility in Tewksbury, Massachusetts. Mail is never outsourced to a third party. We have operated since 2007 and are A-rated with the BBB. We do not claim SOC 2 or HIPAA certification.

Is mail scanning the same as USPS Informed Delivery?

No. Informed Delivery emails a grayscale image of the outside of some letter-size USPS mail for eligible residential addresses. It never shows the contents, and the paper still lands in your physical mailbox. A scanning service opens the item on request, scans every page, and can forward or shred the original.

Can you scan checks, credit cards, or passports?

We can scan a check or a card’s carrier letter so you know what arrived, but a scan cannot be deposited or used. Checks, cards, passports, titles, and certified originals should be physically forwarded by a tracked service. We recommend a courier with signature for cards and identity documents.

Can I use mail scanning if I live outside the United States?

Yes. Many of our scanning customers live abroad or travel full time. You complete Form 1583 with an online notary, receive your Massachusetts street address, and manage everything by email. Originals you need can be forwarded to 220+ countries and territories at discounted carrier rates.

What happens to my mail after it is scanned?

The pages are returned to the envelope and the item goes back to your suite. It stays there within your plan’s storage window, which is 30, 60, or 90 days, until you tell us to forward it, keep holding it, or shred it.
